Terms and Conditions for KOI SWIM SCHOOL


These Terms and Conditions govern your use of our services at KOI SWIM SCHOOL. By enrolling in our swim classes, you agree to comply with these terms.


ENROLMENT
  • All participants must complete the online registration and accept these Terms and Conditions prior to attending lessons.

BOOKINGS and PAYMENT:
  • Bookings and payments for the next course will take place 2 weeks before current term finishes.
  • Renewals will be sent via e-mail outlining the upcoming term's details, including cost, class day & time. Please contact KOI SWIM SCHOOL as soon as possible if you are experiencing any difficulties in receiving our e-mails.
  • All payments must be done up front.
  • Direct Debit payments will be submitted on the first day of priority bookings. Successful collection secures the booking.  Please note KOI SWIM SCHOOL will hold your place until the 5th day of the bookings. Unsecured places will be offered to someone from our waiting list or advertised to new swimmers. 
  • Please ensure you have enough funds in your account to avoid a small fee for failed collections.
  • All bookings are subject to the discretion of KOI SWIM SCHOOL. We retain the right to decline, modify, transfer, or cancel a booking if it violates these terms, results in uncovered operational costs, or for any other valid reason.

CANCELLATION
  • If you wish to stop swimming with us let us know one day before priority bookings start. Once the payment request is submitted, we cannot cancel or change it. Please note that collected payments cannot be refunded under any circumstances. Should you wish to cancel future payments, you can do so up to a day before we send request to collect payment (the date will be sent to you via email in advance).
  • Unattended courses or classes will not be refunded under any circumstances. 
  • In case of class cancellation due to pool closure or other events beyond KOI SWIM SCHOOL’s control, a make-up class will be offered. If a make-up class cannot be arranged by the end of the term, a credit will be issued against the following terms fees. 

MAKE UP CLASSES
  • Make up classes are exclusively offered subject to availability; KOI SWIM SCHOOL offers no assurance that it will be able to book them. 
  • Catch up sessions cannot be re-scheduled or transferred over to the next term.
  • If you wish to be offered a make-up session, please give us as much notice as possible.
  • Arranged and confirmed make up lessons for class cancellation due to pool closure cannot be re-scheduled or transferred over to the next course.

VENUE:
  • Please be mindful that there is a ONE-WAY driving system on the premises.
  • Gates within the premises will be open during KOI’s classes; please use the car park spaces before the entrance gate. 
  • Please take your shoes off before entering the changing rooms, this will help to keep the changing rooms and the poolside area clean. 
  • Children must be accompanied by an adult at all times. KOI SWIM SCHOOL does not take any responsibility for unsupervised children while you wait for the class or after the class finishes. 
  • Please leave your buggy outside the changing rooms. 
  • Please keep all personal belongings with you. KOI SWIM SCHOOL does not take any responsibility for the loss and damage of any personal belongings.
  • Do not change your child on raised surfaces.  

POOL AREA
  • No outdoor footwear is allowed at the poolside and changing rooms. 
  • Please keep noise to a minimum whilst waiting for the class. It distracts both swimmers and teachers. 
  • Depth of the water is 0.9 m to 1.2 m.

HEALTH & SAFETY
  • Parents/Carers are fully responsible for providing safe supervision at all times to children attending KOI SWIM SCHOOL classes. 
  • Our use of Wemms facilities is limited to the pool building only. We are not allowed to use the sports hall, playground, or other outdoor areas during KOI classes. We understand the temptation for the little ones, but for everyone's safety and insurance purposes, we kindly ask everyone to follow this rule.

SWIMMING CODE OF CONDUCT:
  • Please aim to arrive 15 mins before your class to ensure you have enough time to find your way and get changed.
  • Please shower before entering the pool. The best way to reduce the risk of bringing in nasty germs (such as cryptosporidium) is by having everyone showered before entering the pool. 
  • Please make sure your child goes to the toilet before entering the pool. 
  • To start your class on time, make sure your child is fully ready to get in the water (tie their hair up, swim caps and goggles on)
  • It is Carers' responsibility to place their children into a KOI’s teacher care at the start of each class and to collect them at the end of the lesson. 
  • Carers must be present at the poolside during the class at all times or nominate another adult. KOI SWIM SCHOOL teacher must be advised of any changes. 
  • Swimming may take place during class only, under the supervision of an instructor. Free swim in the empty areas of the pool is NOT ALLOWED. KOI SWIM SCHOOL would highly appreciate if everyone respects this policy at all times.
  • If your child is NOT potty trained, she/he must wear a ‘Happy Nappy’ over their ‘Huggies Little Swimmer’. KOI SWIM SCHOOL highly recommends these nappies specifically as they are the best available protection on the market. Any leaks from a nappy might cause pool closure. Please note you will not be allowed to enter the class without requested protection.
  • Please inform your instructor before starting the class if you or your child has any medical condition.
  • Please speak to your teacher if you require any special assistance during the class.

DAY and TIME of your class
  • In the event of a class becoming too small to run, KOI SWIM SCHOOL reserves the right to amalgamate your class with another at most convenient day and time for all participants; offer different class individually to each swimmer; or with regret cancel the class.

SICKNESS:
  • Please do not turn up for the class if either, you or your child is suffering from the following: any contagious disease, open wounds, ear infection, skin infection, diarrhoea or vomiting illness, please allow 48 hours before returning to your class. 
  • KOI SWIM SCHOOL reserves the right to allow entry into the pool for any health reason. A medical certificate might be required for certain medical conditions.

TEACHER ABSENCE:
  • In the event of a teacher being unavailable to teach on any given day, KOI SWIM SCHOOL reserves the right to replace that teacher with a suitable substitute teacher. 

PHOTOGRAPHY/FILMING
  • KOI SWIM SCHOOL takes Child Protection very seriously and therefore at no point during your session will photography and filming be allowed.
  • We may take photographs or videos during classes for promotional purposes. We will not publish any photographs of children without prior consent being given. 

LIABILITY

  • KOI SWIM SCHOOL does not accept liability for personal injury, loss, or damage to personal property, except as required by law.

DATA PROTECTION POLICY

At KOI SWIM SCHOOL, we are committed to safeguarding your personal data.
  • Data Collection and Use: We collect personal information (name, contact details, child’s information) to process bookings, communicate class details, and ensure participant safety.
  • We sometimes send out emails to our families with information that we trust will be of interest. You can choose to unsubscribe to these emails at any time. 
  • We will only disclose your information to third parties if legally obligated to do so. 
  • The names and ages of children are printed on lesson registers which teachers use at the pool and this data might therefore be visible to other pool users. 
  • Data Security: We implement appropriate measures to protect your personal data from unauthorised access and retain it only as long as necessary for its intended purpose.
  • Your Rights: You have the right to access, correct, or request deletion of your data. For inquiries, please contact us at info@koiswimschool.co.uk.

CHANGE TO TERMS & CONDITIONS
  • Please be aware that our current T&Cs may change from time to time. You will be always notified by e-mail of any changes being made. You have the right not to accept them by writing to us within 7 days from receiving an update.
